Importing Pickleball Paddles for the First Time: A Buyer’s Walkthrough

A first import goes wrong in predictable places, and almost none of them are about the paddles. They are about sequence: a specification that was never written down, a trade term nobody stated, a document that was somebody else’s job, or a value declared in a way that cannot be defended later.

This walkthrough is for a buyer placing a first wholesale or OEM paddle order from a factory. It sets out the stages in the order they have to happen, what you are responsible for at each one, and the failure that most often occurs when a stage is skipped.

Before you contact a factory

Two hours of preparation saves weeks later. Have these ready:

Our OEM project checklist turns this into a single page. Suppliers quote differently when they receive it, and the quotes become comparable.

The eight stages from brief to delivery

Stage What happens What you own The failure that happens when it is skipped
1. Brief and quotation Factory prices against your stated brief Writing the brief Quotes arrive for different products and cannot be compared
2. Sampling Samples produced to the agreed specification Agreeing acceptance criteria A golden sample approved on appearance only
3. Approval Sample signed off with photos and measured values Naming one approver and a deadline Schedule slips with nobody accountable
4. Purchase order Quantities, price, lead time, term, documents Stating the trade term in writing “Who clears this?” is answered at the port
5. Production and in-process checks Line runs, checks recorded Agreeing the checkpoints Defects are found after the run rather than during it
6. Inspection and packing Finished goods checked, packed to specification Appointing an inspector if you want one Cartons that fail on arrival, or packaging that was never approved
7. Shipping and documents Booking, bill of lading, certificate of origin Entry filing and duty as importer of record Goods held for a missing document
8. Receipt and reconciliation Delivery, count, measured spot check Comparing against the approved sample A drift between sample and shipment is discovered months later

The stages that most often cause delay are 3 and 7, and both are on the buyer’s side. Our guides to MOQ, sampling and lead time and to customs, duty and who handles them cover those two in detail.

Documents your shipment needs

Expect the first shipment to need a commercial invoice, a packing list, a bill of lading or air waybill, and — where the destination or the buyer’s programme requires it — a certificate of origin and product test reports.

Two rules make this manageable:

  1. Write an owner next to every document in the purchase order. A document with no owner is the document that is missing at the port.
  2. Approve label and packaging artwork before printing, because reprinting after production is the most expensive form of correction. The export packaging guide sets out the levels to approve, from unit pack to master carton.

Document ownership at a glance

Document Owner Needed by Consequence if it slips
Commercial invoice Factory Before shipment The entry cannot be filed
Packing list Factory Before shipment Clearance and your own receiving both stall
Bill of lading or air waybill Freight forwarder At booking No release document at destination
Certificate of origin Factory, endorsed as required Before shipment A preferential rate may be lost
Product test reports Factory, on request Before shipment Destination requirements cannot be evidenced
Entry filing and duty payment You or your broker On arrival Storage and demurrage begin to accrue
Label and packaging artwork approval You Before printing Reprinting is the most expensive correction available

Do you need a business to buy wholesale?

This is a genuine question with a jurisdiction-specific answer, so the honest version is: in most markets, importing commercially as an individual creates practical problems — customs treatment, duty and tax recovery, and access to wholesale pricing all assume a business entity — and some suppliers only invoice to a registered business. The specific requirements depend on your country, and a customs broker or accountant is the right person to confirm them for your situation.

What you should not do is structure the transaction to look like a personal purchase in order to avoid a business requirement. That creates the same exposure as an under-declared value, and it lands on the importer of record.

What the first order should look like

The purpose of a first order is to prove the process, not to hit a revenue target.

The first order is a process test

If your first shipment arrives correct, on time and with documents that clear without intervention, you have validated the supplier relationship and not just the product. That is a more valuable outcome than a slightly lower unit price, and it is what makes the volume orders safe to place.

Buyer questions

How long should a first import take?

Plan in stages rather than a single number: specification and sampling, approval, production, inspection, shipping and clearance. The production stage is usually the most predictable part; the approval and documentation stages are where the time actually goes.

Should I use a customs broker?

For a first commercial import, yes — in practice the broker will classify the goods and file the entry, which is precisely the part where an error is expensive. The customs and duties guide explains what the broker needs from you and from the factory.

Can the factory ship directly to my customer?

It can ship to an address you nominate, but the import responsibility follows the trade term, not the delivery address. Decide who is the importer of record first.

What if the first order goes wrong?

The answer depends on what you wrote down before production: the acceptance criteria, the exception clause and the notification window. Our guide to handling a defective bulk order sets out the sequence to follow.
